Privacy Policy

Skoolie Foundation ("Skoolie," "we," "us," "our") is a 501(c)(3) nonprofit organization (EIN 93-3429328) that operates the website at skooliefoundation.com and a related operations dashboard ("The Bus") used internally by our team. This Privacy Policy explains what information we collect, how we use it, and the choices you have.


We're a small organization. We collect only what's necessary to run our programs, communicate with supporters, and meet our legal obligations. We never sell your data.

What we collect


Information you give us directly. When you fill out a form on our website (contact, volunteer signup, donation, newsletter), you may provide your name, email address, phone number, mailing address, donation amount, and any messages you write. We collect what you choose to share.


Information collected automatically. Like most websites, our site logs basic technical data when you visit: IP address, browser type, pages viewed, and timestamps. We use Cloudflare to host and protect the site, which means Cloudflare also processes this technical data on our behalf.


Donation information. When you donate through our online giving partners (Zeffy, and in the future Pushpay), those platforms collect your payment information and pass us a record of the donation — your name, contact info, donation amount, and any designation you select. We never see your full credit card number or bank login credentials. Payment processing is handled entirely by our giving partners.


Bank account information (internal only). Skoolie's treasurer and administrators use Plaid to view balances and transactions for the Foundation's own bank accounts — not yours. This is for our internal financial management; if you donate to us, your bank information stays with you and your bank.



How we use it


We use the information we collect to:


- Acknowledge donations and send tax receipts as required by IRS rules for 501(c)(3) organizations

- Communicate with donors, volunteers, and program participants about Skoolie's work

- Operate and improve our website and operations dashboard

- Comply with legal, tax, and reporting obligations

- Prevent fraud and protect our supporters' information


We do not use your information for advertising, and we do not sell, rent, or trade donor or supporter data.



Who we share it with


We share data only with the vendors and partners who help us operate, and only the minimum needed for them to do their job. Our current vendors are:


- Cloudflare — hosting, security, and database services for our website and operations dashboard

- GoHighLevel (GHL) — our customer relationship management platform; receives donor names, emails, donation history

- Zeffy — our online donation processor; processes donor payments

- Plaid — bank-account aggregation, used only for our own foundation accounts (not yours)

- Google Workspace — email and document storage for staff


Each of these vendors has its own privacy commitments, and we have agreements in place that limit how they may use the data we share. We never authorize any vendor to sell your information.


We may also share information when required by law (subpoena, court order, IRS audit), or to protect the rights and safety of our organization, our team, and the people we serve.



How long we keep it


We keep donation records for at least seven years to satisfy IRS requirements. We keep contact information for active supporters and volunteers as long as you remain in active communication with us. You can ask us to delete your information at any time by emailing contact@skooliefoundation.com (we may need to retain limited records for legal or accounting reasons).



How we protect it


We use industry-standard practices to protect the data we hold:


- All website traffic is encrypted in transit (HTTPS / TLS)

- Internal databases are encrypted at rest by our hosting provider

- Access to internal systems is restricted to authorized team members and protected by authentication

- We do not store payment card numbers or bank passwords on our systems


No system is perfectly secure, but we take reasonable steps to protect your information and we promptly investigate any suspected compromise.



Your rights and choices


Depending on where you live, you may have rights under laws like California's CCPA or the EU's GDPR. Regardless of jurisdiction, we honor these requests from anyone:


- Access: ask us what information we hold about you

- Correction: ask us to fix inaccurate information

- Deletion: ask us to delete your information (subject to legal retention requirements)

- Opt out of communications: unsubscribe from emails using the link in any message, or email us directly

Children's privacy


Our services are not directed to children under 13, and we do not knowingly collect information from children under 13. If you believe we have, please contact us and we'll delete it.



Changes to this policy


We may update this policy as our practices change. The effective date at the top reflects the most recent revision. Material changes will be communicated through the website and to active supporters by email where appropriate.
